Learn How To Request a Raise In Writing

Understanding When and Why to Request a Raise

A raise is an increase in your regular salary or hourly wage. According to the U.S. Bureau of Labor Statistics, wage growth varies by industry and experience level, with many workers receiving annual increases between 2% and 4%. However, these standard increases may not reflect your individual performance, market changes, or increased responsibilities.

Timing matters when requesting a raise. Research shows that employees who request raises receive them at higher rates than those who never ask. The most common times to request a raise include after successfully completing a major project, when taking on new responsibilities, during annual performance reviews, or after being with a company for one to three years. Industry data suggests that those who negotiate their salaries earn significantly more over their careers—sometimes hundreds of thousands of dollars more by retirement.

Before making your request, consider your company's financial health. If your employer is struggling financially or has recently implemented layoffs, waiting may be more strategic. Conversely, if your company has announced strong profits or expansion, this creates a favorable climate for your discussion.

Understanding market conditions is also important. Websites like the Bureau of Labor Statistics, Glassdoor, and PayScale contain information about typical salaries for your role, experience level, and geographic location. If you're earning below the market average for your position, you have data supporting your request.

Practical Takeaway: Evaluate your tenure, recent accomplishments, market rates for your position, and your company's financial situation before scheduling your raise discussion. Having concrete reasons strengthens your position.

Researching Your Market Value and Salary Data

Knowing your market value requires research into what employers typically pay for similar positions. This information helps you request a realistic raise amount rather than making an arbitrary number.

Several reliable sources provide salary information. The Bureau of Labor Statistics (bls.gov) offers occupational wage data by region and industry. Glassdoor, PayScale, and LinkedIn Salary allow you to filter by job title, location, company size, and years of experience. The Society for Human Resource Management (SHRM) publishes annual salary surveys by industry and position level. Trade associations in your field often conduct compensation studies relevant to your profession.

When researching, gather data for positions that match your specific circumstances:

• Your exact job title or closely related titles in your industry
• Your geographic location (salaries vary significantly by region and cost of living)
• Your years of experience and education level
• Company size (larger companies often pay differently than smaller ones)
• Your specific industry segment

If you collect data from multiple sources, you'll notice ranges rather than single numbers. For example, a marketing manager in a mid-sized company in Denver might see salary ranges from $55,000 to $75,000 depending on the source and specific qualifications. A reasonable target typically falls in the 50th to 75th percentile of your research range, depending on your experience and performance level.

Consider whether you want a percentage increase or a specific dollar amount. A typical raise ranges from 3% to 5% annually, though those changing significantly responsibilities might request 10% to 20%. If you currently earn $50,000 and the market average for your role is $58,000, you might reasonably request a raise to $55,000 or $56,000 as a more achievable first step.

Practical Takeaway: Use at least three data sources to establish a realistic salary range for your position, then set your raise request at a reasonable point within that range based on your experience and performance.

Documenting Your Accomplishments and Contributions

A written raise request must demonstrate your value to your employer. This requires concrete documentation of what you've accomplished, how you've grown, and what value you bring. Vague statements like "I work hard" don't persuade decision-makers. Specific examples and measurable results do.

Begin tracking accomplishments throughout the year, not just before your raise conversation. Document the following:

• Projects you led or significantly contributed to, including outcomes and timelines
• Problems you solved and money or time you saved the company
• Revenue you generated or helped generate
• Process improvements you created or implemented
• New skills you developed or training you completed
• Promotions or expanded responsibilities you've taken on
• Positive feedback from colleagues, managers, or customers
• Times you went beyond your standard job duties
• Performance metrics where you exceeded targets

Numbers strengthen your case significantly. Rather than stating "I improved efficiency," say "I streamlined the customer onboarding process, reducing setup time from 6 hours to 3 hours, saving approximately 20 hours per month company-wide." Rather than "I brought in new business," state "I secured three new client contracts worth $150,000 in annual revenue."

If you've received performance reviews, use specific language and ratings from those documents. If your manager praised certain work in emails or meetings, those become evidence. Awards, certificates, or recognition from peers also strengthen your documentation.

Your written request should reference these accomplishments specifically. In a formal letter requesting a raise, you might write: "In the past year, I've taken on the role of team lead for the Q4 product launch, completed certification in advanced project management, and delivered the client retention project which resulted in keeping 12 at-risk accounts, representing $240,000 in retained annual revenue."

Practical Takeaway: Create a document listing your major accomplishments over the past year, including specific metrics and outcomes. This becomes the foundation for your written raise request.

Structuring Your Written Raise Request

A well-organized written request follows a clear structure that makes your case persuasive and professional. While you may have an in-person discussion with your manager, having your request in writing creates a formal record and allows decision-makers time to consider your points.

A standard raise request letter includes these elements:

• Professional formatting: Use standard business letter format with your name, date, manager's name and title, and company address at the top
• Clear subject line: "Request for Salary Review" or "Request for Raise Discussion"
• Polite opening: Express appreciation for your position and opportunities
• Reason for request: Briefly explain why you're requesting a review (anniversary, new responsibilities, market research, proven performance)
• Documentation of value: Provide specific examples of accomplishments and contributions
• Market data: Reference industry salary information supporting your request
• Proposed amount or range: State specifically what raise you're requesting (a percentage or dollar amount)
• Forward-looking statement: Express commitment to continued growth and contribution
• Call to action: Request a meeting to discuss the proposal
• Professional closing: Use "Sincerely," "Best regards," or similar

Your letter should be concise—typically one page—and use clear, professional language without being overly formal or stiff. Avoid emotional language, complaints about compensation, or threats about leaving. Focus on facts and forward momentum.

Here's an example opening: "I've greatly valued my role as Senior Customer Service Representative at [Company Name] for the past three years. I'd like to request a meeting to discuss adjusting my compensation to reflect my expanded responsibilities and contributions."

An example middle section: "Since my last review, I've taken on team lead responsibilities for the customer success initiative, which reduced response time by 40% and improved customer satisfaction scores from 82% to 91%. Additionally, I completed advanced training in customer relationship management and mentored two new team members."

Practical Takeaway: Write your raise request as a professional business letter that follows standard formatting, clearly states your raise amount, supports it with specific accomplishments, and includes relevant market data.
